This Privacy Policy applies to the public websites at omi.health and omiscribe.com (together, the "Websites"). It does not apply to:
- Omi Scribe for Mac — see Mac Privacy Policy
- Omi Scribe Cloud — see Cloud Privacy Notice
- Omi Speech-to-Text API and Playground processing — see the API Privacy Note
Outside the STT Playground, the Websites are marketing and information sites and do not process patient audio, transcripts, or clinical notes. The separate API Privacy Note explains the Playground's transient audio processing.
1. What We Collect
1.1 Contact and waitlist forms
When you submit a form on the Website (e.g., waitlist signup, enterprise enquiry), we collect the information you provide:
- Name
- Email address
- Organisation and role (if provided)
- Interest selection (e.g., Mac beta, US waitlist, enterprise)
- Any additional fields you fill in (EHR/EMR, clinician count, message)
- Whether you opted in to product updates
We also record:
- The form you submitted from (source CTA, page URL)
- UTM parameters (if present in the URL)
- Date and time of submission
Purpose: To manage waitlists, respond to enquiries, and send product updates (if you opted in).
Legal basis: Legitimate interest (responding to your request) and consent (for marketing updates).
Storage: Form submissions are sent directly to Google Sheets via a Google Apps Script endpoint. Access is restricted to authorised Omi Health personnel.
1.2 Analytics (consent-gated)
We use Google Analytics 4 to understand how visitors use the Websites (e.g., which pages are visited and which product links are selected).
The Google Analytics tag loads with analytics storage denied under Google Consent Mode. Before you accept, it does not set analytics cookies or use normal analytics storage, but Google may receive limited cookieless consent-state and technical pings. After you accept through the consent bar, analytics storage is enabled and analytics cookies may be set.
When active, Google Analytics may collect:
- Pages visited and time on page
- Referral source
- Device type, browser, and screen size
- Country-level location (IP addresses are anonymised by default in GA4)
- Custom events (e.g., button clicks, form submissions)
Purpose: To improve the Website and understand visitor interest.
Legal basis: Consent (you clicked "OK" on the cookie bar).
Retention: Google Analytics data is retained per Google's default settings (14 months). We do not export or combine it with other personal data.
1.3 Cookie consent preference
When you click "OK" on the cookie bar, we store `cookie_consent = yes` in your browser's localStorage. This is not a cookie — it is local browser storage that is never sent to any server. It exists only so the consent bar does not reappear on every visit.

No analytics cookies are set before you accept. We do not use advertising, social media, or behavioural-tracking cookies.

We do not sell or share your data for advertising purposes.
4. Data Retention
- Form submissions: Retained as long as needed to manage waitlists and respond to enquiries. You can request deletion at any time.
- Analytics data: 14 months (Google Analytics default).
- localStorage: Persists in your browser until you clear browser data.
5. Your Rights
You can:
- Request access to the data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Withdraw consent for analytics by clearing your browser's localStorage (this resets the cookie consent bar)
- Object to processing based on legitimate interest

The Website is not directed at children under 16.
